Job description

The main purpose: To ensure the coordination and administration relative to conferences, exhibitions and other events as specified, thus ensuring the successful build up/compilation and execution of events

 

Reporting to the: Events Manager

 

Key responsibilities will include but not limited to:

 

  1. Administration:

  • Coordination of the CTICC Highway signage.

  • Calendar Management: Schedule weekly meetings for the department and take minutes.

  • Book Operations Meeting and send out meeting request to the team and suppliers.

  • Prepare reports from the operating system for weekly meetings.

  • Assist the Head of Event Logistics and Events Manager with general administrative tasks and this includes following up on client queries in line with the CTICC policies and procedures.

  • Assist the department by answering telephone calls in line with CTICC standards.

  • Assist with Event Applications as and when required.

  • Assist with Loading of event documentation and service orders for the department as and when required.

 

2. Finance

  • Assist the Event Executives with closing of events.

  • Assist with following up on upcoming event payments and age analysis.

 

3. Planning of Internal Events

  • Book and coordinate internal events for various departments in line with CTICC procedures.

  • Coordinate Client Relationship Management (CRM) and Stakeholder events at the CTICC.

Job requirements

Qualifications and experience required:

  • Matric Certificate (NQF level 4)

  • NQF level 5 qualification in Events / Hospitality / Office Administration

  • Must have minimum one year experience in an events organization

  • Excellent understanding of key computer programs (Excel, Word, etc.)

  • Exposure to EBMS or any other event management software program.

 

Skills and knowledge

  • Well-disciplined individual with a customer orientated “can do” personality

  • High level of professionalism and confidence. 

  • Good communication skills are vital.

  • Flexibility is a must and the ability to work on different projects simultaneously in a pressurized environment is a key requirement.

  • The candidate must be able to work inconvenient hours during busy periods.
