Job description

The main purpose: To provide administration and support to the Human Capital team across the full Human Capital spectrum.

Reporting to the: Human Capital Business Partner

Duration: 12-month Fixed Term Contract (must be available immediately). 

Key responsibilities will include but are not limited to:

1. Coordinating the recruitment process

  • Advertise vacancies internally and externally

  • Assist with managing the applications database

  • Assist with coordinating interviews with managers and candidates

  • Compile interview packs and distribute them to the interview panel timeously

  • Assist with background screening checks (reference, qualification, criminal and credit)

 

2. Assisting with Induction of New Employees

  • Complete IT activation forms before a new employee starts (and similarly a deactivation form should an employee resign)

  • Arranging new starters access cards, ID cards and parking cards

  • Liaising with the relevant vendors and department to ensure staff uniforms are arranged for all new hires, interns and staff replacements

  • Ensuring the new and replacement name badges are made and issued timeously

 

3. Training & Development

  • Assist with the coordination of training initiatives

  • Update the monthly training report

  • Assist with the submission of the Workplace Skills Plan (WSP) and Annual Training Report (ATR)

 

4. Employee Relations

  • Update the disciplinary tracker and grievance records

 

5. Performing general administration and ad-hoc duties

  • Assist with arranging internal and external meetings

  • Creation of new employee file for new employees and maintaining all personnel files for staff

  • Maintaining employee files and ensuring that all relevant documentation is included in the files

  • Assist with adhoc HC projects e.g., long service awards, staff socials, employee wellness

  • Maintain and update organograms for all departments

  • Minute-taking

  • Assist with compiling documentation for HC audits

Job requirements

Minimum qualifications and experience:

  • National Diploma in Human Resource Management or any HR related field (NQF Level 6)

  • Computer literate – Microsoft Office / Microsoft 365
