Job description

The main purpose: To render specific support to the Payroll Officer in the implementation, management and co-ordination of the full payroll function, as well as providing support with all reward and payroll related staff queries.

Reporting to the: Payroll Officer

Key responsibilities will include but are not limited to:

1. Assist with Payroll function

  • Full pay end to end payroll function on VIP and/or SAGE 300 People

  • Payroll for between 200 and 300 staff members

  • Calculation and processing of overtime

  • Management of employee data, ensuring the accuracy of timesheets, computing salaries, and ensuring employees are paid correctly and on time. Maintain employee files through efficient record keeping and filing

  • Managing electronic timekeeping system (Jarrison Time) or manually collecting and reviewing timesheets, in conjunction with line departments.

  • Gather, assist and process data for monthly payroll (which includes timesheets, new appointments, transfers, terminations, overtime etc.)

  • Collection, verification and capturing all other variables

  • Maintaining all payroll parameters and implementation of all system updates

  • Maintaining and administering of the Employee Self Service VIP SAGE 300 People module (ESS)

  • Full administration of employee benefits (medical aid, provident fund, etc) and good knowledge and understanding of risk benefits (Group Life & Income Protection)

2. Assist with Reconciliation

  • Reconciliation of payroll, leave, provident fund & risk benefits, medical aid, garnishees and EMP201 returns

  • Liaising with the Finance department and ensure timeous payment of all payroll vendors

3. Assist with Statutory submissions

  • Manage statutory submissions (i.e. Employment Equity Report EEA2 & EEA4, B-BBEE verification & Tax Year End)

  • Full reconciliation and submission process of IRP5’s for bi-annual and Tax Year End periods

Job requirements

Minimum qualifications and experience:

  • Matric or equivalent (NQF Level 4)

  • VIP and/or SAGE 300 People Payroll certificate and experience essential

  • Payroll Certificate or Financial Management Certificate (NQF Level 6) is preferred

  • Knowledge and proven track record in HR Payroll Administration for 3 years is essential

  • Fully computer literate with excellent Excel skills (formulas), MS word, Visio and PowerPoint
