Job description

The main purpose: To respond to enquiries from the national market and convert business to ensure the target for national Conferences including local associations, trade fairs, other events, special events, banquets and film shoots are met and exceeded. For short term events, booked and confirmed within one month from event day, the event will also be co-ordinated, and services procured for the successful execution of the event.

Reporting to the: Manager: National Sales

Key responsibilities will include but are not limited to:

Increase sales

  • Research and approach national corporates, associations, government entities, special event organisers, film and photo shoot coordinators, and trade fair clients to arrange onsite and offsite sales meetings.

  • Follow up on leads received from the sales activities.

  • Maintain contact with new and existing clients to generate new leads for national conferences.

  • Respond to sales enquiries within 24 hours from new and existing client enquiries.

  • Coordinate and conduct site inspections for potential and existing clients.

  • Determine the exact needs of the client to advise on best suited venues and products and services.

  • Preparing quotations on the basis of client’s needs in line with CTICC standards.

  • Delivering of CTICC presentations at tradeshows, off site at client offices or on site at CTICC.

  • Follow up on leads received from international sales representative.

  • Negotiate rates within authority framework and yielding policy.

  • Carry out relevant reporting and administrative requirements of the job regularly.

  • Work closely with the team to help achieve departmental objectives. 

  • Any other assistance over and above the duties in this job description as required by CTICC on an ad-hoc basis.

  • Provide feedback from clients to enhance the CTICC product functioning and service delivery.

  • Coordinate and procure services for short term events hosted at CTICC.

  • Ensure client satisfaction with the event planning process.

  • Upsell CTICC additional services i.e. catering, audio-visual, décor etc.

  • Project management of events including programme/schedule, food and beverage audio visual, health and safety, entertainment, decoration, layouts and table plan requirements and assist with menu tasting with clients.

  • Generate requisitions for all services prior to events.

  • Generate a function sheet with all relevant information to the event into EBMS.

  • Secure client feedback through debriefing sessions and respond appropriately to client feedback.

  • Adhere to procurement and health and safety processes and procedures.

  • Consult the operations department regarding clients’ requirements.

Financial

  • Meet and exceed annual revenue and event number targets for the national market segments.

  • Negotiate rates with clients and offer a variety of options to ensure that the client budget is met; however, CTICC yields maximum revenue.

  • Follow up on payments as per the conditions of hire, ensure full payment is received prior to event commencement.

  • Final invoice within 2 days of event close in order to secure payment within 7 working days.

  • Liaise with debtors’ clerk regarding outstanding payments pre and post event.

Client and stakeholder management

  • Ensuring proper interdepartmental communication.

  • Building and maintaining good client relationships by conducting sales calls, site inspections, cold calls and attending CRM events.

  • Represent the CTICC at relevant trade shows, workshops and industry functions.

  • Manage and maintain meaningful relationships with industry stakeholders and partners

  • Activate events to showcase the CTICC services and offering for potential business per market segment.

  • Involve the relevant departments at client meetings to ensure that proper communication and event handovers are maintained. 

  • Ensure client service delivery is according to expectations and achieves 80% in Customer Survey Reports.

Reporting and database management

  • Completing sales reports required for analysis.

  • Maintain the CTICC contact database on EBMS.

  • Maintain the EBMS Opportunity database with intellectual property on each event.

  • Monthly report on key performance indicators as set by the Manager: National Sales.

  • Ad-hoc reports as requested time to time.

Job requirements

Minimum Qualifications and Experience:

  • Must have at least a relevant National Diploma (NQF 6).

  • Must have a minimum five (5) years’ experience in a similar position.

Personal attributes:

  • Ability to communicate with all levels of employees as well as with, stakeholders and clients.

  • Ability to remain up to date with hospitality and convention trends.

  • Ability to apply innovative solutions to complex challenges.

  • Able to cope with pressurised situations and make informed decisions.

  • Effective presentation skills.
